Sell workshop tickets online: a small-event checklist
Sell workshop tickets online with a clear event page, a 24-place capacity example and separate payment, ticket and arrival records. Use the launch checklist.

To sell workshop tickets online, define one dated session, decide how many people you can host and give buyers a clear route from payment to admission. Your event page, capacity record and door list need to describe the same workshop.
Plan one in-person workshop with a shared start and finish: a studio masterclass, creative session or practical group lesson. Use the event-page worksheet and fictional 24-place example below. A recurring class or a course spanning several dates needs its own attendance and payment design.
Define exactly what one ticket buys
Write the offer in a sentence before choosing checkout settings. For example: “One place at the introductory printmaking workshop on 18 November 2026, 18:00 to 20:00, including shared tools, paper and one finished print.”
Then list the boundaries. Does every buyer take part in the practical work? Can someone buy a place for a friend? Are materials included? Is there a minimum experience level? If participants need to bring something, name it before they pay.
Define one ticket as admission for one participant to the entire dated session. A buyer who purchases two tickets reserves two places, even if the payment produces one order number.
Keep separate service appointments out of this count. A bridal party receiving different services from two stylists needs a group booking schedule. A workshop brings participants into one shared activity, with a common attendance limit.
Set the workshop's participant limit
Start with the room layout, usable workstations, materials and the number of participants the instructor can support for the planned activity. Confirm the venue's applicable occupancy limits separately, including staff and anyone accompanying participants. The number of tickets you offer must fit within those constraints.
Count the equipment people use at the same time. Twenty-four chairs do not support twenty-four participants if the activity requires a tool that only twelve people can use and you have no workable rotation. Try the setup with tables and materials in place before announcing capacity.
Keep the participant limit separate from staff availability. A two-hour workshop with twenty-four participants does not create forty-eight bookable staff hours. If the instructor also serves individual clients, reserve their preparation, session and cleanup time in the working calendar. Use the staff capacity planning worksheet for that separate calculation.
Eventbrite's capacity documentation distinguishes the whole event's capacity from the quantity of each ticket type. Whatever tool you choose, check how its event limit, ticket quantities and reservations interact before sales open.
Build an event page that answers purchase questions
Someone arriving from a shared link should be able to decide whether the workshop fits without finding the original social post. Put essential information on the event page itself. TryBooking's event setup guide likewise asks organizers to prepare the venue, date, sales window, ticket quantity and price before setup.
Use this worksheet while reviewing your page on a phone:
| Page detail | What the buyer needs to know |
|---|---|
| Session | The activity, intended experience level and what participants will do |
| Date and time | Full date, start, finish, arrival time and relevant time zone |
| Place | Venue name, complete address, entrance and room instructions |
| Included items | Materials, equipment and any take-home item |
| Preparation | What to bring, wear or complete beforehand |
| Admission | Whether one ticket covers one person and whether companions need a place |
| Price | Currency and the complete amount the buyer will see at checkout |
| Changes | The organizer's published cancellation and transfer terms |
| Access questions | A contact route for discussing venue access or participation needs |
| Help | Who handles missing confirmations and event-day questions |
Check that the page and checkout agree. If the headline says materials are included but checkout adds a compulsory materials charge, revise the offer and displayed total. Use a date written out in words where a numeric date might be ambiguous.
Give access enquiries a useful contact route. Ask what arrangement the participant needs, and collect only information you will act on. Avoid putting personal access or health details in a shared attendee list. Confirm what the venue can provide before promising an arrangement.
Track orders, payments, tickets and arrivals separately
A registration can exist before payment clears. A payment can succeed before an email reaches the buyer. A valid ticket can remain unused after the workshop starts. Your records need to preserve those differences.
Keep an order reference for the purchase, a payment status, a quantity of issued admissions and an arrival record for each participant. Use these operational labels in your planning sheet, adapting them to the actual states your tool supports:
| Situation | Capacity treatment for this plan | Next action |
|---|---|---|
| Buyer asks a question | No place allocated | Send the event page or answer the question |
| Reservation held, payment pending | Count the held places until their stated expiry | Check payment through the agreed route |
| Payment confirmed, admission issued | Count each issued ticket | Deliver private ticket access |
| Complimentary admission issued | Count each issued ticket | Deliver admission details without requesting payment |
| Participant admitted | Keep the ticket counted and record arrival | Continue to show the admission as used |
The exact states depend on the provider. Find out when your tool reserves capacity, when it issues admission and what happens after expiry or cancellation.
If you accept a manual payment, designate who verifies receipt and who confirms the reservation. A screenshot supplied by the buyer needs checking against the collection record. Keep a pending reservation clearly labelled until that check is complete. Do not send a message saying “your ticket is confirmed” while still asking the buyer to pay.
For online checkout, use the provider's trusted payment record when resolving uncertainty. Ask buyers to keep their order reference and check the existing purchase before starting another payment. Write down who handles an ambiguous result so reception does not guess.
Work through a 24-place workshop
Assume the organizer has checked the room, equipment and instruction plan and approved a limit of twenty-four participants. The ticket face value in this fictional example is 180 currency units. Two guest places are complimentary.
On the afternoon before the workshop, the organizer records:
| Allocation | Places |
|---|---|
| Paid admissions issued | 18 |
| Complimentary admissions issued | 2 |
| Active reservations awaiting payment | 2 |
| Available to sell | 2 |
| Participant limit | 24 |
The two pending places remain allocated under this organizer's stated hold rule. There are twenty confirmed admissions and two temporary reservations, leaving two places available. Calling every unpaid place “available” would offer four more places while the two reservations are still active.
The eighteen paid admissions came from ten single-ticket orders and four two-ticket orders. That makes fourteen paid orders. A door list with one row per order would hide four participants, so expand quantities into individual admission records where your tool supports that, or maintain a checked per-ticket list.
The face value of the paid admissions is 18 × 180 = 3,240 currency units. That is the face value of those ticket sales before fees or costs. The two complimentary places still need materials, workstations and space.
If both pending places become confirmed, the allocation changes to twenty paid, two complimentary and two available. If a reservation expires, verify that it no longer grants a place before offering that capacity again. After a cancellation, check admission validity and payment handling separately. Record the action needed on each; do not assume that changing one automatically completes the other.
Test the buyer journey before sharing the link
Use the provider's supported test process or a controlled purchase you can handle under your actual terms. Do not put invented payment details through a live checkout. Open the public event link on a phone without an organizer session and check the following:
- The event date, address, price and included materials match the approved offer.
- Buying two tickets consumes two places and makes the quantity clear in the confirmation.
- A pending or failed payment does not display the same confirmation as an issued admission.
- The buyer can find the order reference and recover missing ticket details through a working help route.
- A free admission consumes capacity without asking for a payment.
- The final available place and the sold-out message behave as expected in the supported test environment.
- The ticket opens on the device the buyer is likely to bring.
Inspect the email as well as the checkout screen. Confirm the actual date, location and ticket quantity. Keep private ticket links out of public posts and shared promotional images. A useful confirmation explains the buyer's next action without making them search through marketing copy.
Prepare admission before doors open
Assign a person to operate the admission process and another contact who can resolve a payment or booking exception if needed. Test the real device, connectivity and ticket lookup method at the entrance. Verify which people your chosen provider permits to operate its scanner.
A QR image needs a checking process that reads the ticket's current admission state and records its use. A generic QR generator alone does not provide that record. If a code has already been used or a payment remains unresolved, pause and ask the designated organizer to investigate before admitting another person.
Keep the day-of list current, including complimentary places and approved changes. Prepare a way to find a buyer who cannot open their email, using the provider's documented recovery route and suitable identity checks. Confirm your connectivity contingency with the provider; do not assume it offers offline admission.
Before sharing the sales link, save the final event-page worksheet and the current capacity allocation together.
