Event tickets by bank transfer: holds and confirmation
Manage event tickets by bank transfer with clear seat-hold deadlines, a payment-status worksheet and a worked 20-place example. Adapt the payment instructions.

Event tickets by bank transfer need a deadline for holding places and a named person who checks that the money arrived. Give the buyer a reservation reference, record how many places it holds and explain when admission will be confirmed. A payment screenshot starts a check; the organizer still needs to match the payment to the reservation.
For one dated workshop, studio masterclass or small performance, use the workflow below alongside the workshop ticket sales checklist. The examples use a fictional 20-place event, with no assumptions about bank processing times.
Check when your provider issues admission
Read the payment method's actual behavior before writing buyer messages. Providers handle manual payments differently. Ticket Tailor's offline-payment guide says it issues tickets when the order completes, while payment remains pending for the organizer to check manually. Fienta's order-status guide includes bank transfers still being completed within its pending status.
Find out whether your service issues a ticket immediately, withholds admission until confirmation, or requires another action. Check how it displays an unpaid order at the entrance. Build your messages and door procedure around that documented behavior.
In the operating plan below, admission is issued after the organizer verifies payment. A pending reservation holds capacity until its stated deadline and provides no permission to enter. Use this plan only where your chosen service supports it. “Offline payment” describes collection outside the online checkout; it says nothing about whether ticket scanning works without an internet connection.
Set the hold deadline and review times
Choose when bank-transfer reservations stop being offered, how long each place is held, and when the organizer will review incoming payments. Keep enough time before the event to resolve unmatched transfers and deliver admission details. Check actual bank and provider conditions rather than promising that every transfer clears immediately.
Write a full date, time and time zone in the buyer's reservation. “Within 24 hours” becomes ambiguous when the buyer reads the message much later. For example, a reservation made at 09:00 on 5 November could expire at 09:00 on 6 November, Jerusalem time. That is this organizer's chosen 24-hour hold, not a banking guarantee or a recommended default for every event.
Align the buyer's deadline with the service's expiry rule. If payment must be received and confirmed before expiry, say so and schedule reviews early enough to do that. A deadline of 09:00 with the first organizer review at noon creates a promise you cannot reliably keep. Stop offering this method when the remaining time cannot support your process.
Name a backup who may handle the review under the service's permissions. If only the owner can confirm payment, assistants can collect references and flag questions while the owner performs the authorized action. Keep the owner available around expiry; do not share their login.
Keep a reservation and payment worksheet
Use one row per order, with a separate quantity column. A reservation for two people holds two places even when the buyer makes one transfer. Keep the live ticketing service as the capacity authority; a worksheet helps organize checks but cannot block simultaneous purchases.
| Field | What to record |
|---|---|
| Event and order | Event date, reservation reference and buyer contact |
| Quantity | Number of participant places held |
| Payment requested | Exact total and currency agreed for this order |
| Hold | Created time and exact expiry, with time zone |
| Matching evidence | Received amount, payment reference and date checked |
| Decision | Pending, confirmed, expired or needs investigation |
| Admission | Number issued and whether delivery needs attention |
| Responsibility | Checker, decision time, reason and next action |
Keep supporting payment evidence in a restricted location. A shared entrance list needs the admission status and a route for questions, rather than copies of bank records. Ask for the minimum reference information needed to match the transfer, using a private contact route.
Use the original order total when checking payment. If you later change an event's price or payment instructions, retain what this buyer was told and resolve any change explicitly. The ticket-type allocation worksheet handles how offers share event capacity; the reservation worksheet records the commitments made against those offers.
Send payment instructions with an exact next action
Replace every bracketed field before sending this example. Confirm the recipient details through the organizer's approved payment source and test the message privately. Never paste sample account numbers into a live reservation.
Reservation [reference]: [quantity] places for [event].
Event: [full date], [start and finish], [venue].
Total to transfer: [amount and currency].
Payee and transfer details: [verified recipient details].
Payment reference: [reservation reference].
Your places are held until [full date, time and time zone].
Payment must be received and confirmed before that deadline.
Send the transfer reference to [private contact route].
We will check receipt and send your admission details after confirmation.
If you cannot meet the deadline, contact [organizer] before transferring.Explain what happens after expiry wherever the buyer sees the hold rule: the reservation stops holding places, and the buyer should contact the organizer before sending money. Link the event's existing purchase and cancellation terms separately. An operational message should not quietly create a different set of terms.
Studio Hakodachat's registration FAQ lists bank transfer as one payment option for its workshops.
Match the money before confirming the reservation
At each review, open the authorized collection record and match the reservation reference, amount and currency. A different sender name may be legitimate when someone pays for a friend, but it needs a verified connection to the order. Keep the uncertainty visible until you resolve it privately with the buyer.
Check that the same incoming payment has not already been assigned to another reservation. Two buyers may transfer the same amount. One payment must not confirm both merely because the totals match. If one transfer intentionally covers several orders, document the allocation and verify that their combined total equals the received amount.
For a partial payment, an unexplained extra amount or an unclear reference, leave the order for investigation and contact the buyer. Avoid treating a partial transfer as full payment for a multi-place order. Verify what adjustments the provider supports before changing quantities or issuing individual admissions.
After a successful match, confirm the existing reservation through the authorized process, record who checked it and verify that the expected number of admissions was issued. Check delivery separately. If the email is missing, recover or resend the existing admission through the supported route instead of creating another paid order.
Work through a 20-place hold example
Assume an approved participant limit of twenty and a ticket price of 180 currency units. At 09:00 on 5 November, twelve paid admissions and two complimentary admissions are issued. Order A holds two places awaiting a transfer of 360, and order B holds two more for another 360. Both holds expire at 09:00 on 6 November. Two places remain available.
| Checkpoint | Paid issued | Guests issued | Active holds | Available |
|---|---|---|---|---|
| Initial position | 12 | 2 | 4 | 2 |
| Order A confirmed | 14 | 2 | 2 | 2 |
| Order B expires | 14 | 2 | 0 | 4 |
| Three further places sold | 17 | 2 | 0 | 1 |
At 16:00 on 5 November, the organizer matches A's 360 payment and confirms the two admissions. Two held places become two issued places, so availability stays at two. Confirming A does not release two extra places for sale.
At B's deadline, the organizer checks its payment position and the service's expiry outcome. In this example no payment has been received, the unfulfilled reservation expires, and its two places return to availability. Only then does availability rise from two to four. Three later sales leave nineteen issued admissions and one available place.
Suppose B's 360 arrives after expiry. That payment relates to two places, but only one is available. Pause and investigate with the buyer. Preserve the payment evidence and the expired reference; do not revive two admissions or quietly exceed capacity. Check current availability and the provider's supported resolution process before agreeing on any replacement reservation. Record any return of money separately when it is completed.
Rehearse expiry and prepare the entrance handover
Before opening sales, use the provider's supported test process to check a two-place reservation, an unmatched transfer, confirmation just before expiry and a payment reported after expiry. Verify the buyer's actual messages and the capacity shown after each step. Check that staff can tell a held reservation from issued admission on a phone.
For an event you hope to manage with Skedful, contact the team with your country, event date, participant limit and proposed collection method. Confirm ticketing availability, reservation deadlines and who can confirm manual payments before choosing this workflow. Owner confirmation records the owner's payment check; any automatic bank reconciliation needs separate verification.
Before doors open, hand the designated organizer the unresolved reservation references and the next action for each. Keep them separate from the issued-admission count. Give the scanner operator the QR ticket check-in checklist and the name of the person authorized to resolve payment questions at the entrance.
