Last-minute appointment available message: 7 templates
Choose a last-minute appointment available message for a waitlist, an earlier visit or a filled slot. Copy 7 templates with clear offers, confirmations and reply routes.

A last-minute appointment available message should tell a client which service is available, when it starts, what it costs and how to request it. Choose from the seven templates below, including the replies you need when someone accepts, answers late or asks to move an existing visit.
Replace every bracket before sending. These are drafts for a staff-managed conversation. Use the hold and confirmation wording only when your booking process can honour it. If an automated waitlist is already offering the same slot, check its current offer before contacting anyone separately.
Prepare one offer that the whole team can see
Confirm that the original appointment has been cancelled or moved in the calendar. Clarify “I might cancel” before releasing the time. Our cancellation policy templates include a message for checking that status.
Then record the service, staff member, date, start, finish, price and any conditions. Include preparation and reset time in the availability check. The short-gap guide explains how to check the complete service footprint before offering a small opening.
Assign one person to manage replies. They need to see the latest calendar and any temporary hold, including its expiry. If two people answer separate inboxes, they should check the same record before either confirms a visit. A shared internal booking reference can connect those conversations without copying clients' private details into another document.
Choose how the client will request the slot. With a manual reply, say when staff will confirm. With online booking, explain what successful completion looks like and check the link. Do not ask clients to reply to a send-only number.
Choose the template for the current stage
| Situation | Template | Check before sending |
|---|---|---|
| A waiting client requested this service | 1 | Their service and availability still match |
| Staff can reserve the slot briefly | 2 | A real hold and an exact expiry exist |
| A booked client asked for an earlier visit | 3 | Their original booking stays protected |
| You want to announce an unreserved opening | 4 | No exclusive offer remains active |
| The booking has been completed | 5 | The calendar contains the agreed visit |
| Another client has taken the slot | 6 | The slot is actually confirmed as taken |
| An exclusive offer has expired | 7 | Staff have released the hold |
Choose one of templates 1 to 4 for the opening message. The remaining messages close the conversation according to what happened.
Four ways to offer an available appointment
1. A direct offer to a matching waiting client
Hi [name], [business] here. You asked about [service]. We have an opening with [staff member] on [day, date] at [time], finishing at [time], for [price and currency]. If it suits you, reply here. We will check availability and send confirmation before you travel. To stop these availability messages, [working opt-out route].
Use this when the client asked to hear about a matching opening and you are not holding it exclusively. Name the service precisely. If the available visit covers a trim but excludes a separately booked treatment, say so before the client accepts.
Check whether the client still wants an opening. Someone who joined a list last month may already have booked elsewhere. A decline should close this particular offer without staff interpreting it as a request to cancel an unrelated visit.
2. An offer with a genuine temporary hold
Hi [name], we can hold [service] with [staff member] at [business] on [date], [start] to [finish], for [price and currency]. The hold ends at [day, date, exact local time]. Reply through [monitored route] before then if you would like it. We will complete the booking with you and send confirmation. After that deadline, we may offer the time to someone else. To stop availability messages, [opt-out route].
Use a hold only if staff or your booking tool actually reserve that time. While it is active, do not make a conflicting offer through another channel. Pick a deadline that gives the client a realistic chance to read and answer while leaving staff time to complete the booking.
Write the actual expiry, including the date. A phrase such as “for the next 20 minutes” becomes unclear when a message is read late. If a reply arrives before expiry but processing takes longer, resolve it before releasing the hold to the next person.
3. An earlier time for someone who already has a booking
Hi [name], you asked us to let you know about an earlier [service]. [Day, date] at [time] is now available with [staff member], for [price and currency]. Your existing visit on [original date] at [original time] remains booked. Would you like us to check the move? We will confirm the new details with you before changing the original visit.
Check the service duration and staff choice again. An earlier start with a different professional may not suit the client. Ask about that change explicitly rather than assuming that any earlier appointment is welcome.
After agreement, update the booking through your normal process and verify which visit remains on the calendar. Check queued reminders for the old time. The rescheduling policy guide covers the rules for moving a visit; this message offers a specific alternative within that process.
4. A public announcement of one unreserved opening
Available at [business]: [service] with [staff member] on [day, date], [start] to [finish], [price and currency]. To request it, contact [route] with [minimal details needed]. We will confirm availability directly. This post will be updated when the appointment is taken.
Use this for a public feed or status after checking any earlier exclusive offer. Include the date even if the opening is today. People can see a shared screenshot after the original posting date.
Keep client names, cancellation reasons and private booking links out of the announcement. Once the visit is booked, mark the announcement as taken or remove it where possible. When a platform cannot update a shared copy, a clear date and a working contact route help staff resolve later enquiries.
Three replies that finish the conversation
5. Confirmation after the booking is saved
Confirmed, [name]: [service] with [staff member] at [business], [address], on [day, date], [start] to [finish]. The agreed price is [price and currency]. [Verified payment status, if relevant.] Your booking reference is [reference]. For changes, use [working route].
Send this after completing the steps your business requires for a confirmed booking. Remove the reference sentence if you do not issue references. If payment or another required step is still pending and the booking is not confirmed, describe that pending status instead of using this confirmation.
For an agreed move, add the original date and say it has been replaced only after checking the update. Send the usual preparation information separately if it needs more space. Your appointment reminder should then use the new confirmed details.
6. A reply after someone else has booked
Thanks for replying, [name]. The [service] opening on [date] at [time] has now been booked. We have not made a booking for you for that time. Would you like us to check [verified alternative], or keep your existing request for a matching opening?
Use this only after checking the live record. Offer an alternative only if it is available. If the person also has a later booking, mention that it remains unchanged.
Avoid making the client guess whether “all sorted” means they got the slot. If two people have already received conflicting confirmations, stop further offers and assign a manager to contact them directly with verified options. Do not silently delete one booking and leave its client expecting to attend.
7. Closure after a hold expires
Hi [name], the hold for [service] on [date] at [time] ended at [expiry], and we have released it. If you still want that visit, contact [route] and we will check the current availability. [Your existing booking on date and time is unchanged, if applicable.]
An expired hold does not prove that the slot has been sold. Use this wording when it has been released, and template 6 when it has been booked. If the client says they answered before the deadline, review the timestamp and current record before promising another outcome.
Check the sending route and permission
Use direct availability messages for the audience and purpose the client agreed to. A general contact record alone does not tell staff which offers the person wants. Keep opt-outs visible to everyone who sends messages, including staff working from a different inbox.
For WhatsApp Business Platform messages, Meta's messaging policy requires opt-in and approved templates for business-initiated conversations. Outside the 24-hour customer service window, use approved templates. These examples still need your provider's appropriate approval and sending setup.
If you use automated offers, check their booking and expiry behaviour before adopting the manual hold wording. Skedful lists waitlist automation in its Pro and Studio plans. Confirm the enabled workflow and available message controls for your account before making a promise about a hold, a reply or an automatic confirmation.
Rehearse two replies to the same opening
Try this hypothetical staff exercise before using the messages. At 10:00, an appointment for 15:00 becomes available. Staff hold it for one waiting client until 10:20. That client replies at 10:18, while another person asks about the same time in a different inbox at 10:19.
The assigned owner checks the active hold, completes the first client's booking and sends template 5. The other staff member sees the confirmed record and sends template 6 with a checked alternative. If the first client declines or the hold expires unanswered, staff release it before making the next exclusive offer.
Repeat with a reply at 10:21 and an unchanged later booking. Check that the team can identify the active offer, explain the current availability and preserve the later visit. Save the approved messages beside the shared offer record, with a named person responsible for updating the public announcement when the slot is taken.
